Focus Local: Grace Period Setup
The Focus Scheduling Module, an optional add on to the Focus system, can save labor dollars through the strict enforcement of Clock In and Clock Out times within acceptable Grace Periods. Employees with the enforce schedules option enabled in employee setup will need manager approval to clock in or out before or after the grace period established. This article will demonstrate how to set up grace periods and enforce schedules.
Required Setting:
- Enforce Scheduling option enabled per employee as needed
Required Job Rights (See Focus Local: Editing Job Rights or Focus Office: Editing Job Rights to see where to adjust Job Rights):
- Jobs - Allows a user to configure jobs. Necessary to complete the grace period setup.
- Approve Clocks - Allows the user to clock in/out any employee. The user can approve unscheduled clock ins and clock outs.
Optional Job Rights
- Bump Up Early Clock In - Sets the employee’s clock in time to the scheduled clock in time if they clock in early.
- Bump Back Late Clock In - Sets the employee’s clock in time to the scheduled clock in time if they clock in late.
- Bump Up Early Clock Out - Sets the employee’s clock out time to the scheduled clock out time if they clock out early.

Step 1: Select the Wrench icon from the login screen
Step 2: Choose the Setup option
Step 3: Enter your access code (fingerprint or manager card option available)
Step 4: Path to Employees > Jobs from the menu in the upper left
If the Focus back office solution is available to you, you can simply login to the Focus dashboard and follow the same instructions from this point forward.
Step 5: Choose the Timekeeping Tab & Fill in the Grace Periods section for each job as needed
WARNING: If adjusting Grace Periods across several jobs, make sure you do so manually. The copy and paste buttons at the bottom of the Jobs window will copy all settings from all tabs, not just the tab selected. Use these options only if trying to emulate an existing job in an empty job slot.
Grace Period Options:
Clock In
- Early - The number of minutes, up to 999, that the employee may clock in early without requiring manager approval. If this value is zero, then the early clock in grace period is not enforced. The user can clock in as early as they want without requiring manager approval.
- Late - The number of minutes, up to 999, that the employee may clock in late without requiring manager approval. If this value is zero then the late clock in grace period is not enforced. The user can clock in as late as they want without requiring manager approval.
Clock Out
- Early - The number of minutes, up to 999, that the employee may clock out early without requiring manager approval. If this value is zero, then the early clock out grace period is not enforced. The user can clock out as early as they want without requiring manager approval.
- Late - The number of minutes, up to 999, that the employee may clock out late without requiring manager approval. If this value is zero then the late clock out grace period is not enforced. The user can clock out as late as they want without requiring manager approval.
Step 6: Save & Close back to the Setup Dashboard
Step 7: From the dashboard, select the Employees icon or path to Employees > Employees from the menu in the upper left
Step 8: Check mark the 'Enforce Scheduling' option for each employee as needed. If no grace period was established, then employees with the 'Enforce Scheduling' option would be required to clock in and out at the exact time they were scheduled. With a grace period in place, these individuals can be early or late by the number of minutes specified. If they are earlier or later than the grace period allows, manager approval will be required for clock in and/or clock out.
Step 9: Select the green icon pictured below, or path to File > Quit to return to the login screen
Don't forget to take a look at the optional job rights at the beginning of this article. They will allow your management team to easily adjust clock in/out times up or down to match the time an employee was scheduled. The grace period will keep your managers from having to constantly approve clocks, but you can still enforce strict adherence to the Focus schedule with these options.
